Batch Posting in CPR+ is awesome, but there must be another way to post payments to multiple invoices AND create secondary claims at the same time and not have to manually enter COB information…

There is if you use the CPR+ ERN Posting Manager!

Most payors have the ability to send electronic EOB’s (a.k.a. ERN, Electronic Remittance Notice, 835.) An 835 is the HIPAA compliant electronic format in which the data is transmitted. CPR+ can receive this electronic data and use it for automatic payment posting.

Once the ERN is received into CPR+ via the Electronic Transmission Menu from the DME MAC, WebMD Medical and Claimsnet Medical Claims lists, it then needs to be “Processed”. What this really means is CPR+ is taking the electronic data from the 835 and saving it into the ERN tables to be used for automatic payment posting and creation of secondary claims. The ERN can be processed as soon as the 835 report is downloaded or retrieved from the 835 - ERN Reports screen.

The 835 – ERN Reports Screen can be accessed from the Billing / Financial (5) menu from either one of the following paths:

  • Create Invoices / Post Payments (1) / ERN Posting (F8) button on the Select Patient grid; or
  • Batch Processes (2) / Post ERN (3).

The View / Edit button will open the CPR+ ERN Posting Manager where all the action takes place. The Print EOB (F7) button is used to print the EOB in a format similar to printed EOB’s generated by Medicare.

When the ERN is “Processed”, CPR+ uses several pieces of data to “match” the payment data returned to invoices created in CPR+. CPR+ matches the data based on Acct#, HCPC, Date of Service and Billed Amount. If a complete match is not made, the line item(s) will be highlighted in yellow. This means that if payments exist, they will be sent to Unapplied Cash and will need to be worked manually.

When designing the CPR+ ERN Posting Manager, the buttons located at the lower portion of the window were positioned from left to right, in the chronological order of the process.

  • Take Adjustment (Alt+F8) – enter adjustments per line item.
  • Bill 2nd (F6) – select a secondary payor
  • View Adj (Shift+F5) – view all previously entered adjustments
  • View COB Info. (F5) – view claim adjustment reason codes returned by the payor
  • Exclude Invoice (F9)– exclude invoice from being automatically posted (claim is highlighted in green)
  • Print Reconciliation (F7) – this report will show actions taken with 835 data
  • Post ERN (Ctrl+F8) – initiates payment posting and creation of secondary claims
  • Close (F2 / Esc) – close out of the CPR+ ERN posting Manager

When the Post ERN button is selected, multiple things occur. Payments are posted, transfer adjustments are created, secondary claims are created and payments where matches could not be established are recorded in Unapplied Cash. NOTE: CPR+ does not post $0.00 to invoices where payments were not made.

So how can $0.00 get posted? By Posting a Denial…of course!

This can be done by using right-click in the CPR+ ERN Posting Manager or by Posting a Denial from the Account Status Screen.

What happens to the invoice(s) that were excluded?

The excluded invoices will not be posted and may be copied to another ERN to be worked later. If excluded invoices exist when the Post ERN button is selected, the user will be prompted (once the ERN has been posted) with a message box asking to “Copy Excluded Invoices to a new ERN?” If answered Yes, the ERN will display in the 835 - ERN Reports Screen and will be highlighted in green. Invoices that were excluded are reported on the Reconciliation Report.

For more information go to the Emdeon website (or whatever clearinghouse your company utilizes for electronic claims processing.) There you should be able to determine which payors offer ERN’s and if additional enrollment paperwork is required.

As of January 1, 2009, the FDA will require that with each prescription dispensed, Pharmacies provide the following verbatim statement:

"Call your doctor for medical advice about side effects. You may report side effects to the FDA at 1-800-FDA-1088".

This rule was published in the Federal Register of January 3, 2008 / Vol. 73, No. 2.  The pharmacy may distribute the statement in any one of the following ways:

  1. On a sticker attached to the unit package, vial, or container of the prescription,
  2. On a pre-printed pharmacy prescription vial cap,
  3. On a separate sheet of paper,
  4. In consumer medication information, or
  5. As part of an FDA-approved Medication Guide.

CPR+ has added "Call your doctor for medical advice about side effects. You may report side effects to the FDA at 1-800-FDA-1088" to the Patient Drug Education Monograph that prints when the prescription is filled. The Patient Drug Education Monographs are available in the Medi-Span module of CPR+ v8.0g and CPR+ v8.1a. If your company does not have the Medi-Span module, please contact Erika Salvato in our Sales Department.

We have also added the ability to print a description of oral medications on a Custom PO Label.  If the Dosage Form description (on the Clinical Info tab) of the inventory item is Tablet / Capsule, a free-form text box will display where a description can be entered.

So Lisa, How Do I Add a New Field to a Custom PO Label?

  1. From the Main Menu, go to Utilities (8) > Program Options (4) > Labels tab.
  2. Next, click the Custom Labels button. Select Custom PO Label. (Remember that you cannot be logged in to “All Sites” to access this button.)
  3. In the upper right area of the window, click the Source dropdown and select Inventory.
  4. Scroll down to Description = “description” and note that the Control Source is parts.descript. (You will need this info in a later step.)
  5. Determine where you want the new field to appear on the label, and click the field icon from the Report Controls window.
  6. Next, draw the field in the appropriate location. The Report Expression window will open, where you will enter the Control Source in the Expression field, which in this case is “parts.descript”.
  7. Click OK.

Do you know how to mark an ERN complete?

You have the ability to mark an ERN complete in CPR+ so that only unworked ERN’s are viewable.
Reasons to mark an ERN complete…

You could potentially have a duplicate ERN or an ERN that may have a zero balance that you want to work manually.

To Mark an ERN complete, simply go to Billing / Financial (5), Batch Processes (2), Post ERN (3), highlight the ERN that you want to mark complete, and press <F9>. You will then be prompted with the following question: Are you sure you want to mark this batch complete? Select Yes.

If you need to view the completed ERN, simply check the “see completed batches” checkbox.
