Have you ever entered a beautifully-written, detailed, Progress Note (or Billing Note) only to discover later that you saved it in the wrong patient’s record? It’s like that day you come home from a hard day’s work, open the refrigerator and see that box of cereal sitting inside… Your heart sinks, because you know that if the cereal is in the refrigerator, then the milk must be...yep, it's in the pantry. In the case of spoiled milk, you can simply throw it out and buy more. But if your "oops" occurred in a patient's record, you can't just delete it. So we added the next best thing: you can void the note and explain the error for future reference. We recognize that changing a piece of a patient’s record is necessary in special circumstances, but it’s not something you would ever want to do without: 1.) security and 2.) a clear record of the change. That’s why CPR+ only allows the ability to void a note to the user who created it. When a note is marked void in CPR+, it remains in the patient’s record, but the font is changed to strike-thru to clearly identify it as voided.
If you make a mistake and need to void a Progress Note, click on the Note History tab or press F6 from the Progress Notes window. There, you can see a list of all the Progress Notes made for your patient. Select the note and press Ctrl+F12. The font will change to a strike-thru font, not only in the body of the note in the lower portion of the window, but also on the text in the grid itself. As I mentioned earlier, only the author of the original note can void that note. If a user attempts to void someone else’s note, a message window will open explaining the rule. Voided Progress Notes will not appear in the Notes Manager or in the Discharge Summary, but they will remain in the Patient’s Note History in a strike-thru font. What if my “Oops!” happened in a Billing Note? Basically, it’s the same procedure. While you have the Billing/Collection Notes window open, go to the Note History tab. Just like the Progress Notes window, you’ll see a grid with all of the Billing Notes for the patient. To void the Billing or Collection Note, highlight the note by clicking once anywhere on that line, and press Ctrl+F12. The text will change to a strike-thru font. Now that the note is void, it will remain in the Note History grid in a strike-thru font, but it will not appear in the Notes Manager, the Billing Note Follow-Up List or the Collection Notes Report.
Just like the Progress Notes, you can only void the Billing Notes that you, personally, created. This includes “system generated” notes. (Notes that CPR+ created, based on another process, such as a claim being created.) If you try to void a system-generated note, a warning window appears explaining that only “user-entered” notes can be voided. Voided Billing Notes will not appear in the Notes Manager, the Billing Note Follow Up List or the Collection Notes Report, but they will remain in the patient’s record in a strike-thru font. CPR+ Report Library customers and Report Writer users know that I’m a huge fan of exporting data to Excel. I know, I know: sometimes you really just need the information to look nice on a piece of paper. But nine times out of ten I really just want the information in Excel so I can sort it, slice it, dice it, and play around with it. I’m a data geek. Now that you can export every single report in CPR+ to a spreadsheet, reports that in the past just gave you information you wanted to know now can give you action items. A great example of this is the Financial Summary report for Billing Status. To run this report, from the Main Menu, go to Billing / Financial (5) > Billing / Financial Reports (9). Select Financial Summary Reports (1), then choose the Billing Status Report (2). Pick a single company if you are running in multi-company mode, then select the option to export to Excel. How cool is this: an Excel spreadsheet of all your patients, their outstanding balances, their start of care dates, the last payment date, and the last invoice date. Sort by balance high to low, or by last payment low to high. Check the billing status – do any “closed” patients actually still owe you money? Give the top 15 balances to your best collectors and put them to work ‑ no custom reporting needed! |
