First, put your hands in the air and be glad you will never again utter the words “Where did my Medi-Span® disk go?” CPR+ v8.1 has Medi-Span updates available to download ONLINE. If you already have the Medi-Span Module, you can receive the updates online. You can even set up your End of Day process to include Medi-Span updates. If you don’t have the module, contact Erika Salvato in our Sales Department at 866-277-4876. Then it’s just a walk thru the Medi-Span park from there. After updating to CPR+ v8.1, (and getting the module installed if need be), and having the proper permissions set by your IT Department, you will be ready to start getting Medi-Span via FTP. (Note: If you can update CPR+ via FTP, you can update Medi-Span via FTP.) Let’s break it down… Disable Screen Savers: Did that scare you? Please disable your screen saver prior to updating or contact your IT Department for help. We just need to make sure nothing interrupts our fun. From the Main Menu, select Inventory (6) > Medi-Span Options (8) > Install/Update Medi-Span Data (1). When the menu appears, check the box next to Download Update. Click the Continue (F2) button. (Ignore the CD Rom Drive Letter Option)
The CPR+ File Transfer menu will pop-up as well as a status bar stating ‘connecting to the FTP server’. This will check if the current version of Medi-Span has already been installed. If so, it tells you. If not, it will update the Medi-Span data file until it’s complete. Now that the data files are updated with the new prices, the next step is to update the inventory with the new information in the data files. Select Inventory (6) > Medi-Span Options (8) > Update CPR+ Inventory w/Latest AWPs (2). …And that is how we do it! To Wrap It Up... Update the Medi-Span data file (6, 8, 1), then update the inventory (6, 8, 2). The Medi-Span file AWP/ASP pricing update time varies for each system. So, ‘When should I update?’ you ask. No Fear! An End of Day Automated Procedure has been added to CPR+ for your convenience. It allows the AWP/ASP updates to be completed at a more convenient time for you. Setting Up End of Day (EOD) Medi-Span AWP/ASPs: From the Main Menu go to Utilities (8) > End of Day Setup (5) > Automated Procedures (1). Press Enter to select Download/Install Latest Medi-Span Data. Click the blue down arrow and select Yes (1) to enable the procedure. Complete the Frequency and Day of the Week/Month to Run fields. Next, click the Save (F2) button, Close (Esc), then Exit (Esc) and you’re finished! (This assumes your End of Day options are setup—Don’t go there! That’s another training session.)
For now, we will continue to distribute Medi-Span CD's to those customers that require them to update the data files. Eventually, they will only be available for a nominal fee. Please contact Erika in Sales for more information. And remember, Computers are our FRIENDS. Some of the most interesting program features in CPR+ are developed based on customer suggestions. Unapplied Cash is one of those features. When you receive a payment from a patient or an insurance company, and it isn’t readily apparent where to apply it, you can assign the amount to Unapplied Cash and research how to apply the payment later. When “later” rolls around, run the Unapplied Cash Report to see exactly what you have to work with. From the Main Menu, select Billing / Financial (5) > Billing / Financial Reports (9) > Cash Report (4). Choose Unapplied Cash (4). On the Billing Report Options Menu, choose the date range – I recommend a start date of 01/01/1980 so you don’t miss old entries. Sort the report by Payor or by Patient. The report shows the date the unapplied cash was entered and deposited, the patient and payor, the original amount, check information, and the remaining unapplied balance. Prevent unhappy patient phone calls by running this report before you run patient statements. Work the list and apply any patient payments to outstanding balances, then send your patients accurate statements. |
