Faster, More Accurate Billing, Starting with the Delivery Ticket

Today’s article will outline an important CPR+ enhancement that will be released with the v8.3a Annual Release. It will also be a focal point of this year’s User Conference in Albuquerque in early November. As you recall, last fall, we reported our four primary company goals for 2009, one of which was to:

Initiate a methodical, top-to-bottom review of CPR+ with the goal of improving the performance, stability and functionality of the existing application.

In keeping with this goal, we sought to INCREASE BILLING AUTOMATION – both the speed and accuracy of claim creation, DECREASE OR ELIMINATE “MANUAL” USER MANIPULATION OF CLAIMS and SPEED UP THE ORDER ENTRY AND DELIVERY TICKET CREATION PROCESS. It’s a BIG GOAL -- we call it “One-Click Billing”. For years, customers and prospects have said “I just want to hit a button and have CPR+ create all my invoices.”  Well, it took us 15 years, but we’re definitely getting there. So how does it work?

Basically, in v8.3a, every item on a Delivery Ticket will be linked to an Order. Now I can already hear the groans out there… but stick with me for a minute. With this new feature, CPR+ will “auto-create” New Orders for you for key items that you add to a Delivery Ticket. Every item will ultimately be linked to a “parent” order.

We’ve also modified the Drug Order and HME / Supply Order windows as follows:

Notice that we’re storing more information at the order level, including Referral Source, multiple diagnoses, etc. Most of it pulls in automatically from the patient’s demographic data, however, you can edit it to make it order specific. The Order is the logical place to store all of the important information about the product or service you provide.  What is ordered? When was it ordered? Who ordered it? What Site / Company is providing it? Who is paying for it? What is the Diagnosis driving the order? Is an Auth or a CMN required? Once each Delivery Ticket item is linked to an accurate Order, CPR+ can create an invoice with no additional user input... Just one click.

New & Improved Supply Kit Templates

Creating Delivery Tickets will also be easier with v8.3a thanks to new and improved Supply Kit Templates. With v8.3a, you’ll also be able to assign a Supply Kit Template to an Inventory Item. Linking a SKT to an Inventory Item allows you to pull not only the selected item onto the Delivery Ticket, but also the linked SKT’s items as well.

In addition, you’ll be able to build or expand your existing SKT’s to include ANY possible inventory item you might ever want or need (different sizes, brands, etc.) for a particular therapy. However, rather than copying all of the SKT items directly onto your Delivery Ticket, CPR+ will display the SKT list first, allowing you to further narrow your selection of items before they are copied onto the ticket.

These enhancements are all designed to speed the Order Entry, Delivery Ticket and Invoice Generation process, as well as link every Delivery Ticket Item to a complete Order which contains Prescriber, Payor, Diagnosis 1-4, Company, Authorization, etc.

CPR+ Audit Reports: Managing People and Processes

In the August 18th Newsletter, I wrote about managing people and processes with CPR+ and the Report Library. A built-in tool to help you with this time consuming activity is the CPR+ Audit Report. Our audit reports can help you answer important questions quickly and easily.

To access the audit reports from the Main Menu, select Reports (4) > Audit Reports (7). Access to the CPR+ Audit Reports is more restricted than other reporting functions. See your System Administrator if you don’t have access.

From the Audit Reports Menu, select what you want to know.

  • Are you concerned about access to a particular patient’s account? Filter for a single patient for all users, workstations, and reasons.
  • Do you think that a user has been working outside of his/her designated area? Filter for a single user and all computers.
  • Want to know what your billers have produced in a month? Look for record additions by date range for all users.

After selecting your filters, select your sort order: date, user, computer, patient, or event type.

Like most CPR+ Reports, the Audit Reports can be printed on paper or exported to an Excel file. Export to Excel is particularly useful if you want to look at activity for a set of users or event types.

Before you Begin your Month-End Process:

Would you like to correct your closing issues prior to performing your month end close? From the Main Menu, try running Utilities (8) > Keyword Commands (8), then type in the word "accounts". This will allow you to correct most of the closing issues prior to attempting to close for the month. We recommend that you run this weekly.
