Last week, my article suggested methods to organize and document payer information. This week's article offers suggestions for managers regarding the tools available to use within CPR+ as well as a few external sources. After the established guidelines have been distributed to the staff, set the following expectations:

  1. Educate! Make sure that your staff understands the tools and processes.

  2. Document the education process.

  3. Set deadlines for responding to all incoming appeals, rejections and document requests. (Document)

  4. Recommend response deadlines 48 hours to one week. (Document this too!)

  5. Review responses and notes until comfortable. (You know what's coming...Document!)

  6. Once you've determined which appeals/requests and denied claims need priority handling, instruct the staff to use the filters in A/R Manager. First filter by dollar limits, looking for the higher amounts, then by time limits to respond (timely filing). Then sort by payer.

  7. Use the system tools in CPR+ to monitor the aging A/R for 90 to 180 days outstanding.

  8. Instruct the staff responsible for posting on how to most efficiently manage distribution of appeals, requests, and denials. Remember to use CPR+ Billing Notes to document all actions taken. Monitor as described above.

  9. Finally, after you're comfortable with systems and successes, determine a schedule to monitor and review outstanding A/R at least monthly - weekly is better.

  10. Recognize staff and congratulate their successes, re-educate when necessary, document and review diligently.

  11. CPR+ is the only software company that provides these easier to use tools, options, education and unequaled support. My preference is CPR+ because of the security and ability to recover data quickly. Also, it is not web-based and support is immediate.

  12. Stick with long term goals. Invest, plan and monitor, and you will be successful.
